If a calendar is shared with you, you will receive an email that should look like this:
1. If you didn't receive this email make sure that the calendar was shared with you, and have the person who owns the calendar follow one of these articles. It is recommended that the Web App is used because the Desktop App can be very flakey on how it provisions things. If you do not receive an invitation email after being added, have the owner remove you and re-share the Calendar:
- Share the Calendar in the Web App: https://support.microsoft.com/en-us/office/share-your-calendar-in-outlook-on-the-web-7ecef8ae-139c-40d9-bae2-a23977ee58d5
2. If it's a public/resource Calendar or it doesn't show up automatically you will need to add it manually by following these steps:
Outlook Web
- While in Outlook Web
- If invited
- In the invitation email click "Accept"
- The button will update to "View", click "View"
- Once you click "View" it will open a new tab on the Calendars page and the calendar will be under "Shared Calendars"
- The Calendar is now added to Outlook Web
- If manually adding a shared/public calendar
- Navigate to the Calendar section
- Select "Add calendar"
- Select "Add from directory"
- In the dropdown box select your email address
- Then in the textbox enter the address of the shared calendar/resource
- In the dropdown box select the section you'd like the calendar to be in
- Then click "Add"
- The Calendar is now added to Outlook Web
Outlook Desktop App
- While on the Outlook Desktop App
- In the invitation, click Accept and View
- It will open a browser tab and have you log in to Outlook web
- From Outlook Web follow the steps above for setting up the calendar in Outlook Web. Once it's visible in the web version it should be visible in the desktop app also.
- If the Outlook Desktop App does not provision the calendar you can add the calendar manually with the next steps
- In the invitation email you received find the hyperlink this URL at the bottom of the email -> Right click -> Copy Hyperlink/Copy link address (depending if your copying from the Outlook desktop app or Outlook web)
- Navigate to your calendars menu
- Once in this menu find Shared Calendars -> Right click -> Add Calendar -> From Internet...
- In the box that pops up, paste the hyperlink you copied from the invitation email. Once that's done you should see the calendar under Shared Calendars
